Confidential UK client · Property & real estate
A conversational agent over a landlord and property-management platform.
An AI agent that lets clients ask about properties, tenancies and operations in plain language, with answers grounded in the platform’s own data rather than a trip through every dashboard.
- AI agents
- Tool calling
- Enterprise data
- Context management
For a UK-based client, we built an AI agent to serve as an intelligent assistant for a landlord and property-management system. Due to client confidentiality, the client’s identity and the name of the AI agent are intentionally omitted. The objective was a conversational interface through which clients could ask questions about their landlord and property-management operations and receive relevant answers without having to manually navigate the entire management system.
The challenge
Knowing where information lives shouldn’t be a prerequisite.
Property and landlord management systems can contain a significant amount of information and functionality. Depending on the user’s role and requirements, they may need information relating to:
- Properties
- Tenancies
- Tenants
- Landlords
- Property-related records
- Maintenance
- Financial information
- Operational workflows
- Documents
- Management processes
- System-specific information
Traditional interfaces require users to know where the required information is stored. The goal was to introduce an AI layer that allowed the client to interact with the system conversationally.
Solution
Ask the system directly.
We developed an AI agent capable of understanding natural-language questions and determining what information or functionality the user was requesting.
Instead of navigating through multiple dashboards, the client could ask the agent a question directly, such as “Show me the information related to this property” or “What is the current status of this tenancy?” The agent could interpret the request and use the appropriate underlying data or system functionality to provide an answer.
Natural-language interface
Natural language instead of navigation.
Traditional approach
- Dashboard
- Properties
- Select property
- Tenancy
- Details
- Search information
AI approach
“Tell me the current tenancy information for this property.”
A key objective was to make the system accessible without requiring users to understand the underlying database structure or application navigation. The AI agent becomes an additional interface layer over the existing property-management platform.
Agent architecture
An AI layer that works with the existing application.
- Client question
- AI agent
- Intent & context understanding
- Determine required data / action
- Backend APIs / tools
- Property-management data
- AI response
The architecture was designed around an AI orchestration layer connecting the language model with the application’s underlying services. This allowed the AI to work with the existing application rather than requiring the entire management system to be rebuilt around an AI model.
Tool-based agent design
Grounded in application data, not training data.
A major engineering consideration was ensuring that the AI agent did not simply generate answers based on its general training knowledge. For system-specific questions, the agent needed access to the appropriate application data, so it acted as an orchestration layer that could determine which tools or backend services were required.
User
“What is the status of this property?”
Agent
- 1.Understand the request.
- 2.Identify the relevant property.
- 3.Determine which backend information is required.
- 4.Call the appropriate system/API.
- 5.Receive structured information.
- 6.Convert the result into a human-readable response.
This approach improves reliability because system-specific answers can be grounded in actual application data.
Context awareness
Follow-up questions that just work.
Another important aspect was conversational context. Users should not necessarily have to repeat all information in every question.
What is the status of property X?
The property is currently associated with an active tenancy.
And what information do we have about that tenancy?
The second question can be interpreted in the context of the previous conversation rather than being treated as an entirely independent request.
Handling broad questions
Specific and exploratory questions.
The agent was designed to support both specific and exploratory questions. A user could ask a direct question or use the agent to understand the system itself:
- “What information is available for this property?”
- “What can I do with this tenancy?”
- “How do I manage this property?”
- “Give me the details associated with this record.”
- “What information do we have about this tenant?”
This makes the AI assistant function as both a knowledge interface and an operational assistant.
Reliability & safety
Reliability and safety.
Because the agent interacts with business data, reliability was an important consideration. The implementation required attention to:
- Authentication
- Authorization
- User permissions
- Data access boundaries
- API validation
- Context management
- Error handling
- Handling missing information
- Avoiding unsupported assumptions
- Clear distinction between retrieved data and generated explanations
For sensitive operations, the AI acts as an interface to deterministic application logic rather than independently deciding or fabricating business data.
Confidentiality
What we’ve left out, and why.
Because the system was developed for a UK-based client, identifying information about the client and the specific product has intentionally been excluded from this case study.
The case study focuses on the engineering approach, architecture, AI-agent functionality, and problem-solving methodology rather than exposing confidential client information.
Outcome
Easier access, nothing replaced.
The project demonstrated how an AI agent can be integrated into an existing property-management ecosystem to provide a conversational interface over complex business data and workflows.
Rather than replacing the existing management system, the AI layer makes the existing functionality easier to access by allowing users to interact with the system through natural language.
